Overview

Billing Cannot Start Until Enrollment Is Done

Credentialing is slow, detailed and easy to get wrong. A missing document, an out-of-date CAQH profile or an unanswered payer request can hold an application for weeks, and every week a provider waits is a week of care that cannot be billed properly.

Our credentialing service gives each application an owner and a deadline. We gather the documents, complete and submit the forms, follow up with the payer and keep going until the provider is approved. After that we keep records current so enrollments never lapse.

The result is faster starts for new providers, fewer delays for new payer contracts and one less thing for your team to manage.

The real cost

Why Credentialing Delays Hurt Your Practice

A slow or lapsed enrollment affects far more than paperwork. It touches your schedule, your cash flow and your patients.

Delayed start dates

New providers sit on the sidelines or see patients under arrangements that can cause billing problems while approvals are pending.

Denied or held claims

Claims for providers who are not yet enrolled, or whose enrollment has lapsed, can be denied or held until the record is fixed.

Administrative burden

Forms, portals, document requests and payer calls take hours that your office team would rather spend on patients.

Our process

How Our Credentialing Process Works

Six clear steps take a provider from collecting documents to an approved, billable enrollment.

01

Intake and document review

We collect each provider's license, NPI, education, work history, malpractice coverage and other records, and check them for gaps or expired items.

02

Payer plan

We confirm which payers you want to join, their requirements and the order that makes the most sense for your patient mix.

03

CAQH and profile setup

We build or update the CAQH profile and any payer portal accounts, so every application starts from accurate information.

04

Application submission

Applications are completed and submitted with the right documents. Medicare, Medicaid and commercial payers each get what they require.

05

Follow-up and tracking

We contact each payer for status, answer requests quickly and escalate stalled files, with every application logged in one tracker.

06

Approval and maintenance

We confirm effective dates and contract details with you, then keep renewals, attestations and expiring documents on a calendar.

Profiles That Stay Accurate and Attested

Many payers pull provider data straight from CAQH. An out-of-date profile or a missed re-attestation can delay an approval or put an existing enrollment at risk.

  • CAQH ProView profile setup and clean-up
  • Current documents uploaded and organized
  • Authorizing payers to view the profile
  • Re-attestation reminders and completion
  • Work history gaps explained before a payer asks
  • One shared record of every provider detail

When you need it

Common Reasons Practices Need Credentialing Help

Credentialing is not a one-time job. It comes up whenever your practice changes.

New practice or startup

Opening a practice means enrolling the group and its providers with the payers your patients use before the first claim goes out.

New provider joins

Each new physician, nurse practitioner or therapist needs to be added to your payer contracts so their visits can be billed.

Adding a payer

Joining another insurance network opens your schedule to more patients, and it starts with a complete application.

New location

Adding an office or telehealth site means updating addresses and records with every payer you work with.

Re-credentialing

Payers ask providers to renew their credentials on a regular cycle. A missed deadline can mean a lapse in participation.

Changes to the group

Tax ID changes, ownership changes and provider departures all need to be reflected in payer records.

FAQ

Frequently Asked Questions About Insurance Credentialing

What is insurance credentialing?

Credentialing is how a payer verifies a provider's license, education, training, work history and background before accepting them into its network. Enrollment is the related step that sets the provider up to submit claims and be paid by that payer. Most practices need both, and we handle both together.

How long does credentialing take?

It depends on the payer, the provider and how complete the application is. Some payers take several weeks and others take several months. Starting early and submitting a complete, accurate application is the best way to shorten the wait, and we track every application so none of them stall.

Can a provider see patients before they are credentialed?

That depends on the payer, the contract and your state rules, and billing under the wrong provider can lead to denials. During your free audit we help you plan start dates around each payer's requirements so you are not caught with unbillable visits.

What is CAQH and do we need it?

CAQH ProView is a shared online profile that many commercial payers use to collect provider information. We set up and maintain the profile, upload current documents and keep the required re-attestations on schedule, so payers always see up-to-date details.

Do you handle Medicare and Medicaid enrollment?

Yes. We prepare and submit Medicare enrollment, state Medicaid enrollment and commercial payer applications, and we track each one until it is approved.

What happens when a provider joins or leaves our practice?

We add new providers to your payer contracts and update group rosters, locations and tax ID details. When a provider leaves, we help you terminate or update their payer records so your information stays accurate.

Will you remind us about renewals and expiring documents?

Yes. We track license, DEA, malpractice insurance and board certification dates and tell you before they expire. We also keep re-credentialing deadlines on a calendar so enrollments do not lapse.

What do you need from us to start?

We need each provider's basic details and current documents, such as license, NPI, malpractice insurance and CV, plus a list of the payers you want to join. We confirm the full checklist during your free audit.

Can we use this service on its own?

Yes. You can start with insurance credentialing and add services such as medical billing and coding or revenue cycle management later.

Is there a long-term contract?

No. We do not lock practices into long contracts.
